CandidSourcedAI ("we", "us", or "our") is a recruiting workflow tool built for professional recruiters. This Privacy Policy explains how we collect, use, and protect your information when you use our platform at candidsourcedai.com.

Information We Collect

We collect the following information when you use CandidSourcedAI:

• Account information — your name, email address, and password when you create an account
• Organization information — your firm or company name
• Recruiter-uploaded content — job descriptions, candidate resumes, phone screen notes, submission templates, branded resume templates, and sample resumes used for formatting style extraction
• Usage data — how you interact with the platform, including features used and pages visited
• Billing information — payment details processed securely through Stripe. We never store your full credit card number.

How We Use Your Information

• To provide and operate the CandidSourcedAI platform
• To process your subscription and manage billing
• To send transactional emails such as account confirmations and subscription receipts
• To respond to support requests
• To improve the platform based on usage patterns

Data Isolation and Security

Your data is completely isolated from other organizations on the platform. No other user or organization can access your candidates, jobs, or settings. We use row-level security at the database level to enforce this separation.

All data is stored in Supabase, a SOC 2 compliant database provider. All connections are encrypted in transit using TLS. Your passwords are hashed and never stored in plain text.

AI Processing

CandidSourcedAI uses Anthropic's Claude API to analyze job descriptions, evaluate resumes, extract formatting styles from sample resumes, and generate content. When you submit content for AI analysis, that content is sent to Anthropic's API for processing. Anthropic does not use API inputs to train their models by default. We do not store your content in any third-party AI system beyond what is necessary for the immediate request.

AI-generated outputs (such as resume style guides, Boolean search strings, and candidate evaluations) are stored in your organization's account for your continued use. These outputs are only accessible to members of your organization.

Data Sharing

We do not sell your data. We do not share your data with third parties for advertising purposes. We share data only with the following service providers who help us operate the platform:

• Supabase — database and authentication
• Stripe — payment processing
• Anthropic — AI processing
• Resend — transactional email delivery
• Vercel — platform hosting

Candidate Data

Resumes and candidate information you upload are stored securely and are only accessible to members of your organization. We do not use candidate data for any purpose other than providing the features you requested. You are responsible for ensuring you have appropriate authorization to upload and process candidate information in accordance with applicable employment and privacy laws.

Data Retention

We retain your data for as long as your account is active. If you cancel your subscription and request account deletion, we will delete your data within 30 days. Billing records may be retained longer as required by law.

Your Rights

You have the right to:

• Access your data — view all data we hold about your organization directly in the platform
• Export your data — download a complete copy of all your data (jobs, candidates, settings, uploaded files, and member info) at any time from your Settings page
• Request correction — update or correct any inaccurate data
• Delete your account — permanently delete your account and all associated data directly from your Settings page. Deletion is immediate and cannot be undone.

Export and deletion are self-service — no need to contact us. If you need additional assistance, email us at support@candidsourcedai.com.

Cookies

We use cookies only for essential platform functionality such as keeping you logged in. We do not use tracking cookies or third-party advertising cookies.

Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email. Continued use of the platform after changes constitutes acceptance of the updated policy.
